This privacy policy explains how SixSides Pty Ltd ("SixSides", "we", "us", or "our") collects, uses, and protects your personal information when you use our website, platform, and services ("Services"). By using our Services, you agree to the terms outlined in this policy.

1. Who we are and how this policy works

Important: events may have their own controller

SixSides is an event platform. Depending on how you interact with SixSides, different organisations may be responsible for decisions about your personal information:

  • SixSides as controller: When you create a SixSides account, browse our website, contact us, or we run our own marketing and billing, SixSides generally determines why/how your information is processed.
  • Event organisers as controller: When you register for or attend an event powered by SixSides, the event organiser typically determines why/how attendee data is processed for that event (e.g., registration, entry, communications, reporting).
  • SixSides as processor/service provider: For many event features, SixSides processes information on behalf of the organiser and under their instructions.

2. Personal information we collect

We collect different categories of information depending on how you use SixSides:

A. Information you provide

  • Account details: name, email, phone, organisation, role/title (if provided)
  • Event details: registration details, ticket type, check-in status, dietary/accessibility notes (if provided)
  • Support: messages you send to us, feedback, survey responses

B. Content and social features (event-dependent)

  • Photos, videos, messages, posts, reactions, and other content you upload
  • Information about you in content where you are tagged (by you or others)
  • Profile information you choose to display in an event community (e.g., bio)

C. Technical and usage data

  • Device and app/browser data, IP address, approximate location (from IP), timestamps
  • Pages/screens viewed, clicks, interactions, feature usage, diagnostic logs

D. Information from others

  • Information provided by event organisers (e.g., attendee lists, ticketing data)
  • Information from integrations you connect (e.g., SSO, ticketing, CRM tools)
  • Sponsor/partner interactions when you choose to engage (see section 5)

3. How we collect and hold information

We collect information when you:

  • create or manage an account,
  • register for or attend an event,
  • upload content or interact with event features,
  • use our website/app (via cookies/SDKs),
  • or when organisers/integrations supply event data to run the event.

We store information in secure systems and restrict access to authorised staff/contractors on a need-to-know basis.

4. How we use personal information

We use personal information for the following purposes:

Provide and operate the Services

  • create accounts, authenticate users, provide event features
  • facilitate event registration, check-in, schedules, messaging, community features

Safety, integrity, and moderation

  • prevent fraud, abuse, and misuse
  • enforce event/community rules and respond to reports

Analytics and product improvement

  • understand feature performance and improve reliability and user experience
  • create aggregated reporting (e.g., engagement trends)

Communications

  • service messages (security, account notices, event updates you opted into or that are necessary for event delivery)
  • customer support responses
  • marketing (where permitted; see section 10)

Legal and compliance

  • meet legal obligations, resolve disputes, protect our rights and users

5. Sharing and disclosure

We disclose personal information in the following situations:

A. With event organisers (event-controlled)

Event organisers may access information needed to run their event, such as:

  • registration and attendance/check-in status
  • community participation (depending on event settings)
  • submitted questions/polls/surveys (depending on event settings)

Organisers control many event settings and may export or integrate attendee data into their own systems.

B. With sponsors, exhibitors, and speakers (when you engage or the event enables it)

We may share identifiable information with sponsors/exhibitors/speakers when one of the following applies:

  • you explicitly consent (e.g., “share my details”),
  • you take an action that clearly indicates intent (e.g., requesting contact, exchanging details, scanning/lead capture where the event experience makes this clear),
  • or the organiser has enabled a feature and provided notice in the event registration flow.

What may be shared (depending on the feature): name, email, organisation, role/title, and a record of your engagement with that sponsor (e.g., “requested brochure”).

C. Other attendees (community visibility)

Depending on event settings, other attendees may be able to see:

  • your event profile (name, photo/avatar, organisation, bio if provided)
  • your posts/messages and reactions
  • content you upload, and tags (with controls described below)

We provide tools to remove tags, delete content you posted, and report content (availability may vary by event configuration).

D. Service providers (subprocessors)

We use trusted third parties to host and operate our Services (e.g., cloud hosting, analytics, email delivery, customer support tooling). They may process personal information on our behalf under contractual confidentiality and security obligations.

E. Legal disclosures

We may disclose information to courts, regulators, law enforcement, or advisers when required by law or to protect rights, safety, or integrity.

6. International transfers

SixSides is based in Australia. Some of our service providers may process or store information outside Australia (for example, where they operate global infrastructure). Where we disclose personal information to overseas recipients, we take reasonable steps to ensure appropriate protections apply, consistent with Australian Privacy Principles.

7. Cookies, SDKs, and similar technologies

We use cookies/SDKs to:

  • keep you signed in and maintain sessions (essential),
  • remember preferences (functional),
  • understand usage and performance (analytics),
  • and, where enabled, measure marketing effectiveness (marketing).

You can control cookies via browser settings and, where available, in-product preferences. Note: disabling essential cookies may prevent core features from working.

8. Data retention

We retain personal information only as long as needed for the purposes described above, including event operations and archiving. In practice:

  • Account information: retained while your account is active, and for a reasonable period after closure for audit/security and legal needs.
  • Event information: retained for the duration of the organiser’s relationship with SixSides and event archiving needs, unless the organiser deletes it earlier or you exercise deletion rights that apply.
  • Diagnostics and security logs: retained for limited periods to maintain and secure the platform.
  • Backups: retained for limited time and then overwritten.

If an organiser is the controller for event data, they may set their own retention/export policies.

9. Security

We use administrative, technical, and physical safeguards designed to protect information from unauthorised access, loss, misuse, or alteration. No system is completely secure; you should use strong passwords and protect your device/account access.

10. Your choices and rights

Access, correction, deletion

You can request access to, correction of, or deletion of your personal information by contacting us.

Event-specific requests

If your request relates to an event (e.g., organiser communications, sponsor lead sharing, attendee list handling), the organiser may need to action it. We will assist and coordinate where appropriate.

Marketing preferences

You can opt out of marketing emails at any time using the unsubscribe link or by contacting us. Service messages (e.g., security or essential event notices) may still be sent.

Content controls

Where available, you can:

  • delete content you posted,
  • remove tags of yourself,
  • and report inappropriate content.

11. Sensitive information

Some content (photos/videos, accessibility notes, dietary info, and other event-provided information) may be sensitive. We aim to collect only what is necessary and rely on your choices and the organiser’s event settings/notice to handle this appropriately. If you believe sensitive information has been handled incorrectly, contact us and we will investigate.

12. Facial recognition (optional)

SixSides may offer facial recognition features for event photos where an organiser enables them. These features are entirely optional and opt-in. If you choose to enrol, we create and store a facial template (a digital representation of your face) from images you provide or approve for enrolment, and use it to recognise you in event photos within the SixSides platform. This may be used to (a) tag or suggest tags for photos you appear in, and (b) where enabled by the organiser, support optional experiences such as the “Tag, You're It” game (for example, awarding points based on recognised appearances). If the game is disabled, facial recognition may still be used for photo tagging/suggested tagging, but no points are awarded.

You may also enrol for the purpose of being excluded from gallery photos. Where this option is available for an event, SixSides will use facial recognition to detect you in photos and hide/remove those photos from the gallery within the SixSides platform on a best-efforts basis (noting that images may still exist in private/admin views used to run the event, exports made by the organiser, or systems outside SixSides). We do not use facial templates for advertising or marketing, and we do not sell them. You can withdraw from facial recognition at any time using in-product controls (where available) or by contacting us. When you withdraw, we stop using your facial template for facial recognition and delete or de-identify it within a reasonable period, subject to legal requirements and backup/technical constraints.

13. Children

SixSides is not intended for children under 16. If you believe a child has provided personal information, contact us so we can take appropriate steps.

14. Complaints

If you have a complaint about how we handle personal information, contact us at support@sixsides.co with details of the issue. We will acknowledge your complaint and aim to respond within a reasonable timeframe.

If you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner (OAIC).

15. Changes to this policy

We may update this policy from time to time. If changes are material, we will provide notice via the Services or by email. Continued use of the Services after the update takes effect means you accept the updated policy.
